Scope of Work:

The Office Administrator is responsible for the day-to-day activities of the Office, in terms of Facilities, Security, and Procurement Management, ensuring that the daily operations run smoothly and efficiently. In charge of managing and monitoring the performance of the Building services contractors, optimizing their performance and output.

 

Main Duties and Key Responsibilities:

  • Oversees and evaluates the daily operations of the Building Services providers like Janitorial, Maintenance, and Security teams.
  • Ensures all types of equipment and utilities are up and running consistently.
  • Ensures all company premises meet the company’s standard “look and feel” and are always kept to a high level of cleanliness and availability.
  • Demonstrate proactive repairs and maintenance schedule of all departmental services including but not limited to air-conditioning, smoke detection, security detection, office interior, office exterior, carpeting, furniture fabric, and furnishings, etc.
  • Manage all tasks connected with the building, including rates, rent, insurance, utilities, cleaning, waste disposal & recycling, repairs & maintenance, security, and other property matters.
  • Analyze and suggest the best allocation and utilization of space and resources for all buildings and meeting areas.
  • Ensure and demonstrate to employees that all company premises meet health and safety requirements and that facilities comply with labor requirements.
  • Responsible for the direction and supervision of the entire procurement operations within the office.
  • Manage suppliers and contractors, to ensure the best option for pricing products and services.
  • Prepare and/or administer a supply management department budget
  • Strongly implements the Vendor Management process, ensuring compliance of Service providers to procurement guidelines set forth by the company.
  • Ensures coordination of internal and external stakeholders for the alignment and integration of BCP Policies.
  • Manages and evaluates compliance activities including business impact analysis, business continuity planning, conducts drills and other business continuity awareness activities.

 

Qualifications:

  • Holds a degree or trade qualification in a relevant field or equivalent knowledge and understanding.
  • Has more than 3 years of knowledge and experience in facilities, office management, and procurement.
  • Procurement and Supplier Relationship Management expertise. Track record of successful supplier negotiations.
  • Must be organized, results-driven, resourceful, and has the ability to use tact and sound judgment when dealing with diverse suppliers
  • Knowledge and ability to manage, lead and support a team.
  • Customer-focused with a track record of enhancing service delivery.
  • Excellent oral and written communication skills including the ability to communicate with employees and suppliers at all levels.
  • Corporate First Aid qualification is a plus.
  • Corporate Health & Safety qualification is a plus
