Main Duties and Key Responsibilities:

The Executive Assistant is expected to provide comprehensive assistance to the high-level executives within the company and is often trusted with complex duties and sensitive information. Tasks may include but are not limited to managing the executive’s schedule, travel arrangements, participating in meetings, filing expense reports, and maintaining necessary databases and files. These responsibilities will start with the CEO and may extend to other members of the US leadership team.

  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiates telecommunications
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Provides travel and logistics arrangements for other US leaders when needed.
  • Prepares reports for the Executive by collecting and analyzing information
  • Represents the executive by attending meetings in the executive’s absence and cascades information whenever needed
  • Maintains executive’s confidence and protects operations by keeping information handled confidentially
  • Completes projects by assigning work to the appropriate department and following up on results; directly provides support on high priority cross-functional projects
  • Supports company retreats and other special events, promotes practices to strengthen organizational culture
  • Champions change management efforts and improves standard operating procedures
  • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions
  • Maintain an organized filing system of paper and electronic documents; stores receipts for submitting expense reports
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Serves as a bridge for smooth communication between the Executive's office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff
  • Works closely and effectively with the Executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately; Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive updated
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.



  • Graduate of any course; college undergraduates are welcome to apply
  • Minimum 1 to 2 years of experience in a similar position
  • Strong organizational, time management, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills; beyond satisfactory business communication skills, both in written and verbal
  • Proficiency in collaboration and delegation of duties
  • Proficiency in Google Suite applications and Slack
  • Exceptional level of discretion and confidentiality
